Information we collect

When you contact us or request an assessment, we collect the details you provide, such as your name, work email, company, the software involved, and a description of the task you want automated. If you hold an account for our software, we collect your email, license details, and basic usage information needed to run the service. We also collect standard technical data such as pages visited, so we can understand how the site is used.

How we use information

We use the information to reply to your inquiry, prepare a quote, build and run the automations you hire us for, operate and support your account, and improve our site and service. We do not sell your personal information, and we do not use it for advertising.

Your systems and the automations we run

To build a desktop automation, we access the systems you authorize, using credentials and access you provide. Desktop automations run on your own machines, which means the business data they touch, such as statements, records, and files, stays inside your environment. We access your systems only to build, test, run, and maintain the automation you engaged us for, and only for as long as that work continues.

Service providers

We rely on a small number of trusted providers to run our business, including hosting, database, and email delivery services. They process information only to provide their service to us and are bound to protect it. We do not share your information with anyone else except when required by law or with your permission.

Healthcare and sensitive data

When we work with healthcare providers, we sign a Business Associate Agreement (BAA) before handling any protected health information, and we follow the terms of that agreement. For any engagement involving sensitive records, the scope of access and handling is defined in writing before work begins.

Data retention

We keep inquiry and account information for as long as needed to provide the service and to meet legal and accounting obligations. You can ask us to delete information we hold about you, and we will do so unless we are required to keep it.

Security

We take reasonable steps to protect the information we hold. No method of storage or transmission is perfectly secure, but we work to keep your data safe and to limit who can access it.

Your choices

You can ask to access, correct, or delete the personal information we hold about you, and you can opt out of any non-essential emails at any time. To make a request, email mihir@openowl.dev.

Changes to this policy

We may update this policy from time to time. When we do, we will change the date at the top of this page. Your continued use of the site and service after an update means you accept the revised policy.
